Photo management, security and compliance, built in

Popcam moves every photo from the kiosk to the right person automatically, keeps it encrypted along the way, and gives your admins clear control over who sees what. Here’s how it works, in plain terms for your events team and your IT team.

Automatic file management and distribution

Every photo finds its owner on its own, from the moment it’s taken to the day it’s downloaded.

  1. Capture

Guests scan their personal IDcode at the kiosk, so every headshot is tied to the right person from the first frame. Group photos need no sign-up at all.

  2. Upload

Photos upload over popcam’s own built-in cellular connection, so venue Wi-Fi is optional. If the signal drops, photos wait on the kiosk and upload as soon as it reconnects.

  3. Clear the kiosk

Once a photo uploads, it’s erased from the kiosk, so photos don’t travel with the hardware when it ships back.

  4. Edit

Our pipeline crops each headshot, removes the background, applies the chosen backdrop and corrects color and lighting, with no one touching a file.

  5. Deliver

Each headshot lands in the guest’s private gallery, labeled by name, and we email them when it’s ready, branded with your logo and colors. Group photos are shared through an on-screen QR code.

  6. Manage

Admins see every photo from their events in one dashboard, labeled by name, with bulk download. Guests and admins can always download the unedited original.

  • One account for every capture mode

Kiosk headshots, group photos and virtual headshots taken on a smartphone all land in the same institutional account, in separate galleries.

  • Lifetime access

Photos stay in each guest’s account, so they can come back and download their headshot years later.

  • No files to chase

No memory cards, shared drives or photographer handoffs. There’s nothing to sort, rename or email out by hand.

Data security

Your photos are protected in transit and at rest, and handled with only the data we need.

  • Encrypted in transit

Every connection to the popcam platform uses TLS 1.2 or higher.

  • Encrypted at rest

Photos and account data are stored with AES-256 encryption.

  • Hosted in the U.S.

The platform runs on Amazon Web Services in the U.S. East (Ohio) region.

  • Minimal data

To create an account, we need only a name and an email address. Our Privacy Policy covers everything we collect.

  • Authentic, with no generative AI

We only use real pixels from real cameras. We correct exposure, color and lighting and replace the backdrop, but we never use generative AI to invent or re-imagine anyone’s appearance.

  • No facial recognition

Face detection finds where a face is in the frame for cropping and lighting. It never identifies who it is: no face matching and no biometric data.

  • Never used to train AI

Your photos are never used to train AI models, and our AWS account is opted out of AWS using them to improve its AI services.

  • Monitored by our team

We watch kiosk health and the photo pipeline ourselves, so problems are caught before your guests notice.

  • Insured

Popcam carries $1 million in cyber liability insurance.

Compliance controls

Controls that help you meet your institution’s privacy and data policies.

  • Role-based admin access

Admin access is by invitation only, with role-based permissions for the people who manage your events.

  • Private by default

Each guest sees only their own photos. The multi-person gallery is visible only to your institution’s admins.

  • Deletion on request

Photos are kept so guests have lifetime access, and deleted on request. Email support@popcam.me to remove a person’s photos.

  • Published terms

Our Terms of Use and Privacy Policy are public, so your legal and procurement teams can review them before you book.

  • Privacy-respecting analytics

Product analytics are anonymous and de-identified: no cookies, nothing typed into forms, and switched off under Do Not Track or Global Privacy Control.

  • Accessible hardware

An ADA-compliant wall mount is available alongside the adjustable stand.
